Changing the case using functions

Using the proper function takes the value of any cell, and converts it to proper case. For example, if you wanted to show in cell B1 a proper case version of the text in A1, you could type the below function into B1.

Using the upper function takes the value of any cell, and converts it to uppercase text. For example, if you wanted to show in cell B1 an uppercase version of the text in A1, you could type the below function into B1.

Tip

Once you've created any of the above formulas, you can use the Excel Fill Handle to copy the function into as many cells as needed.

Use Excel Flash Fill

Users who are using Excel 2013 and higher also have the option to use Excel Flash Fill to automatically fill cells to how you want them to be formatted. Below is an example of how Flash Fill can be used to complete text with the case you want to use.

Enter the text how you want it to appear. In our example picture, we have names in column A and want column B to use proper case for each of the names.

Once the properly formatted version of the text is inserted, press the keyboard shortcut Ctrl+E, or click Data and then Flash Fill to fill out the remaining cells.

Once complete, each of the names should be in column B with the proper case.

Copy and paste

If none of the above solutions work, you can also copy and paste any text within Excel to another program with support for changing the case. For example, you could copy and paste text from Excel to Microsoft Word and use the shortcut key Shift+F3 to change text between uppercase, lowercase, and proper case.

In Microsoft Word, you can use the keyboard shortcut Shift+F3 to change selected text between upper case, lower case, and title case.

  1. Highlight all the text you want to change.
  2. Hold down the Shift key and press F3.
  3. When you hold Shift and press F3, the text toggles from sentence case (first-letter uppercase and the rest lowercase), to all uppercase (all capital letters), and then all lowercase.
Note

If you are using a laptop or an Apple Mac, the function keys may not be enabled without the use of the Fn key. You may need to hold the Fn key, in addition to the Shift key, when you press F3.

If you're not able to get the Shift+F3 shortcut to work in Microsoft Word 2007 or later, you can try the following option instead.

  1. In the menu bar, on the Home tab, click the Change Case icon, which has an uppercase 'A' and lowercase 'a.'
  1. Select the appropriate option from the list of values. For example, if you want to change to all uppercase letters, select the UPPERCASE option. If you want to change to all lowercase letters, select the lowercase option.
